SORTL (“we”, “us”, “our”) provides an intelligent document-organization and reminder service accessible through the SORTL mobile application and website. This Privacy Policy explains how we collect, use, store, and protect your personal information.

By using SORTL, you agree to this Privacy Policy. If you do not agree, please discontinue use of the Service.

2. Information We Collect

We collect the following types of data to operate and improve the Service:

• Documents you upload, forward, email, or scan (bills, receipts, contracts, warranties, etc.).
• Extracted metadata (due dates, amounts, categories, vendors, warranty dates).
• Account information (name, email address, device identifiers).
• Usage information (app interactions, feature usage, diagnostics, error logs).
• Preference data (reminder settings, language, notification preferences).

We DO NOT collect:

• Your phone’s personal files or notes.
• Your passwords or financial account credentials.
• Content from your WhatsApp except messages or files you intentionally forward to SORTL.

3. WhatsApp & Email Forwarding (User-Initiated)

SORTL allows you to forward documents using WhatsApp or email. By forwarding a message or attachment, you authorize SORTL to process the forwarded content solely for providing the Service.

• We do not access or read your WhatsApp messages other than those you explicitly forward.
• We do not sync or access your contacts or chat history.
• Forwarded messages are treated as User Content and stored securely as described in this Policy.

You may revoke your consent at any time by deleting forwarded documents or requesting account deletion.

4. How We Use Your Information

We use your information to:

• Automatically organize your documents using AI.
• Provide reminders for upcoming deadlines.
• Generate summaries, insights, and smart notifications.
• Improve Service reliability, accuracy, and security.
• Provide customer support and respond to inquiries.
• Comply with legal obligations, if applicable.

5. How We Store Your Data

• Your documents and metadata are stored securely in Amazon Web Services (AWS).
• Data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
• Access is restricted using strict role-based access controls.
• We do not sell your data to third parties.

6. Data Retention

We retain your documents and extracted metadata for as long as your account remains active.

You may delete any document at any time from within the app.

If you delete your account, all documents, embeddings, and metadata are permanently erased within 30 days.

7. Sharing Your Information

We do NOT sell or share your personal information with advertisers.

We only share information with:

• Service providers (e.g., AWS) strictly to operate the app.
• Legal authorities only if we are legally required to do so.

All service providers are bound by confidentiality and data-processing agreements.

8. AI Processing

Your documents may be processed using secure AI models hosted on AWS Bedrock or similar cloud environments. Processing is performed solely to extract information and provide features.

We do NOT use your documents to train external or third-party AI models.

9. Your Rights

Depending on your location, you may have the following rights:

• Access your stored data.
• Correct inaccurate information.
• Delete individual documents.
• Request full account deletion.
• Withdraw consent to processing.
• Request a copy of your data (data portability).

10. Children’s Privacy

SORTL is not intended for children. The Service is designed for adults and is intended for users aged 18 and over. We do not knowingly collect personal data from minors.

11. International Users

Your data may be processed and stored in AWS regions located outside your country. All processing follows this Privacy Policy and applicable privacy laws. Where required, appropriate safeguards (such as Standard Contractual Clauses) are applied.

12. Security Practices

We use the following practices to protect your information:

• Encryption at rest (AES-256)
• Encryption in transit (TLS 1.2+)
• Access logging and monitoring
• Role-based access controls
• Routine security updates and testing

No system is completely secure, but we continuously enhance our protections.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Significant changes will be communicated through the app or website. Continued use of the Service constitutes acceptance of the updated Policy.
